Overview:
The People Operations Specialist – Expatriate Management is responsible for overseeing all aspects of expatriate employee management within the company. This includes managing the visa and work permit application process, onboarding, coordinating housing and relocation services, and ensuring compliance with local employment laws and regulations.
The People Operations Specialist – Expatriate Management will serve as the primary point of contact for expatriate employees, providing support and guidance to ensure a smooth transition and integration into their roles and the local community.
Main Responsibilities:
Foreign workers Management:
- Coordinate and manage the foreign labour process, including logistics, visa and work permit applications.
- Manage and track lodging and accommodation permit renewals and attend to inspection request from the Ministry of labour migrant unit
- Serve as the primary point of contact for foreign workers, providing support and guidance throughout their employment.
- Lead the recruitment and selection process in collaboration with the People Operations team
- Develop and implement policies and procedures related to their employment.
Onboarding and Integration:
- Facilitate the onboarding process for foreign workers, ensuring a smooth transition into their new roles and locations.
- Provide culture integration and support to help foreign workers adapt to their new environment.
- Liaise with the People Operations teams to ensure foreign workers are integrated within the local workforce.
Compliance and Legal:
- Ensure compliance with all legal and regulatory requirements related to foreign workers employment; Private recruitment agencies bill, employees lodging accommodation and labour laws.
- Manage relationships with external stakeholders, such as immigration officers, Ministry of Safety & Health, Ministry of Labour and other service providers.
- Monitor changes in legislation that may impact foreign workers and update policies accordingly.
- Participate in S&H committee and actions
- Assist Managers in ensuring that the foreign workers are operating as per current Quality Management System
- Comply with all the sustainability commitments and practices implemented within business units
Compensation and Benefits:
- Manage foreign workers packages, including salary, allowances, air ticket and other benefits including timely bank account issuance
- Monitor and address any issues related to compensation
- Ensure that UID is obtained on work permits to facilitate the payment of CSG income support allowance through MRA monthly
Employee Support and Well-being:
- Provide ongoing support to foreign workers, addressing any challenges they may face during their employment.
- Implement programs to promote the well-being and engagement of foreign workers.
- Handle any emergency situations or issues that may arise during the foreign workers employment.
- Supervise the cleanliness of the foreign workers dormitories
- Coordinate transport of all foreign workers with the transport provider and sort out all transport issues
Reporting:
- Maintain accurate records of all foreign workers and related documentation.
- Prepare reports and analyses on foreign workers developments, costs, and overall program effectiveness.
- Provide insights and recommendations to Head of People Operations and Experience on improving the foreign worker’s experience.
Candidate’s Profile:
- Diploma in HRM, or any acceptable qualifications
- Proven experience in managing foreign labour.
- Strong understanding of immigration and labour laws related to foreign workers.
- Excellent organizational and project management skills.
- Strong interpersonal and communication skills, with the ability to work with diverse cultures.
- Proficiency in multiple languages is a plus.
Work Environment: This role may require occasional travel to support foreign workers in different locations. The People Operations Specialist – Expatriate Management will typically work in an office but may also need to coordinate on site
